Reserves
The Reserves desk is located at the Access Services desk on the 2nd floor of the Library. Faculty may place Library or personal materials on Reserve for students in their classes. Items will be distributed to students with a valid I.D. Materials can also be scanned and made available as electronic reserves. The Library recommends materials placed on Reserve be items expected to receive heavy use by students during the semester to satisfy class assignments.
Placing Items on Reserve:
Faculty may submit Reserves Requests electronically (for books / for articles) or in person. Faculty should drop off books or articles at the Reserves Unit. Print articles to be scanned may also be brought to the library. Faculty may send their materials via a student assistant. Faculty or student assistants will need to fill out a Reserve Information Card, which provides information the Reserves Assistant needs to process items being added to the Reserves Collection. Faculty can choose from the following loan options: 1, 2, or 3 hours and 1, 2, or 3 days.
- The recommended number of books and articles placed on Reserve for any class is 25.
- The Reserve Unit adheres to the Copyright Law and the relevant copy limitations permitted for educational purposes. Usually, a single copy of a periodical article will be processed for student use. Exceptions to the established guidelines can be addressed to the Reserves Coordinator and/or the Head of Access Services.
- Staff from the Reserves Unit do not retrieve information to be placed in the Reserves Collection.
- Placing journals in the Reserves Collection is strongly discouraged. Library journals may not be borrowed, so they are readily available to all users. These items are in high demand and are heavily used by all students.
- Materials received up to 10 days before the start of the semester will be processed before classes begin.
- Processing time is usually 48 hours. Large amounts of material may require additional time. Faculty
are encouraged to submit material as early as possible.
Electronic Reserves:
- The Reserves Coordinator will scan reserve articles intended for remote access.
- Faculty will be given a password and instructions as to how their students may access these online articles. The password and instructions can then be passed on to students in the class.
Retention and Removal
Faculty
Items remain on reserve for one semester. Faculty will then receive the list of items that they had placed on reserve for each of their classes from the Reserves Assistant with an inquiry asking which items should be retained for the following semester.
- Faculty not responding to the inquiry within the allotted time will have their personal items pulled and returned to them. Library books will be reshelved and scanned items will be deleted.
- Permanent Reserves are strongly discouraged. Exceptions will be made for materials used semester to semester, e.g. examinations.
- Materials that cannot be returned to Faculty who have left the University will be kept as gifts.
